Basic submission questions
What is the official language of the conference?
The conference uses English as its official language. All presenters deliver their presentations exclusively in English.
How do I submit an abstract for a conference?
Authors are invited to submit an abstract of no more than 250 words. Abstracts for individual presentations should be submitted via the EasyChair system. Each author may contribute to a maximum of two submissions. Please see our abstract submission guide.
Log in to My Conference or Create an account.
Use your email address as your username and create a password. Ensure that all information you provide when creating your account is accurate, as the conference organizers rely on these details for preparing official Letters of Acceptance, Letters of Invitation, and Conference Programmes. Verify the correct spelling of names, affiliated institutions, and other relevant information before submission.
Receive a confirmation
After submitting your abstract, you receive a confirmation of receipt. If you discover an error, such as a minor typo, refrain from submitting a revised version. The conference organizers will contact you after screening your submission to inform you of any necessary actions.
Initial screening
Conference staff review each submission to confirm adherence to established academic standards and to identify any incomplete entries. Upon completing the initial screening, they issue an official notification via email.
Review
Your submission will undergo double-blind peer review and a final review by the Programme Committee.
Result notification
The conference team usually sends the result notification within 2-4 weeks. If they accept your abstract, they invite you to register for the conference and send a Letter of Acceptance to your email.
Registration
The conference website provides access to the registration portal. All individuals who wish to present must complete the conference registration payment before the registration deadline. After processing the payment, the conference team sends a confirmation email with the official receipt. The Printed Programme includes the submission only if at least one author registers by the deadline.
How many abstracts can I submit? How many times can I present?
You may submit up to two abstracts to the conference. A presenter registration covers only one presentation. If you have a second accepted abstract, you must complete an additional registration.
Can I present a paper that I have already published or plan to publish, or can I present a paper that has already been presented at another conference?
ICETOE will not accept papers that are under review, accepted, or published elsewhere. Authors are also expected not to submit their papers elsewhere during the ICETOE reviewing period. All submitted articles should report original, previously unpublished research results, experimental or theoretical. Articles submitted to the conference should meet these criteria and must not be under consideration for publication elsewhere.
Can I present ongoing or work-in-progress research at ICETOE
Authors must submit either completed research projects or works-in-progress that have generated preliminary findings. This criterion ensures the submitted material represents a significant contribution to the field, either through completed analysis or through initial results that merit further investigation.
What principles guide ICETOE policy on ethical conduct?
ICETOE treats ethical conduct as a matter of utmost importance and regards any form of plagiarism as unacceptable. The conference rejects papers containing redundant publication (reusing one’s writing verbatim or in a substantially similar form) or plagiarism (using another author’s writing without attribution) without further review, and takes additional action as appropriate. To verify compliance, the review team checks all submissions using Crossref Similarity Check and other checking software.
What guidelines does ICETOE have regarding the use of generative AI and AI-assisted technologies?
ICETOE follows https://journalofscience.ou.edu.vn/en/policies/ai-use. Authors are allowed to use generative AI and AI-assisted technologies in the writing process before submission, but only to improve the language and readability of their paper and with the appropriate disclosure. This does not apply to the use of basic tools for checking grammar, spelling, references, and other similar purposes.
I’m the first author, but I can not attend. Can a co-author be the corresponding author?
The corresponding author need not be the first author. Any listed author who handles submission, final paper upload, attendance, and presentation take this role.
Is it possible to co-present a paper?
Yes, but co-presenters share the same 25-minute slot (including Q&A) as single presenters. Each attending author must register separately.
I’m not certain I can attend the conference. Should I still submit an abstract?
We encourage you to submit an abstract only if you plan to present at the conference, so we can effectively organize the program. If your plans change, just let us know!
If I’m unable to attend the conference, can someone else present my paper?
Yes – a listed co-author can present on your behalf. If neither you nor your co-authors can attend in person, please let us know.
Abstract acceptance
How are abstracts assessed?
Once you submit your abstract online, it will go through a double-blind peer review process. For more details, please refer to our review and grading guidelines.
How will I know if I have been accepted as a presenter?
You will receive a Notification of Acceptance via email once your abstract is accepted. After that, a Letter of Acceptance can also be sent to your email upon request.
What are the reasons for my abstract being rejected?
There are reasons why a submission may be rejected. Your submission may: be considered to contain unoriginal work; not be relevant to the conference in question; have language and comprehension difficulties; not meet the standards required for presentation.
Submission changes
Is it permissible to replace my abstract after acceptance?
No, substitutions of abstracts after acceptance are not allowed. Each abstract is evaluated and approved based on its own merits and, therefore, cannot be exchanged for a different submission once accepted. Should you wish to present an additional topic, please submit a separate abstract for consideration.
Can the title of my abstract be changed after submission?
es, modifications to the title are permitted. Please contact ICETOE@ou.edu.vn to request such changes. However, please be advised that while the title may be amended, the content of your presentation must remain consistent with the original accepted abstract.
Conference proceedings
Is it acceptable to submit only an abstract to the conference without submitting a full paper to the Conference Proceedings?
Yes, submission of a full paper to the Conference Proceedings is optional.
What is the procedure for submitting a full paper for inclusion in the conference proceedings?
Please carefully review the guidelines for conference proceedings papers before submitting your manuscript through the online submission system. Only papers presented at an ICOE conference will be considered for inclusion in the Conference Proceedings. Corresponding authors are required to submit their final manuscripts via the online submission platform.
Is formatting required before submitting my paper?
Yes, final papers must be properly formatted before submission. Please carefully review the formatting guidelines, download the Final Paper Template, and consult the Final Paper Submission page before preparing your manuscript. Submissions that do not adhere to the specified guidelines will be returned for revision.
Presenter registration
What are the registration fees for presenters at ICETOE? Are early registration discounts available?
For comprehensive information regarding presenter registration fees and any applicable early registration discounts, please refer to the Registration page. Registration deadlines are based on the UTC+7 time zone. Participants are encouraged to register early to qualify for Early Bird rates.
What is the registration deadline?
To ensure inclusion in the conference programme, each accepted presentation must have at least one registered author. Failure to register by the specified deadline will result in automatic exclusion of the presentation from the final conference programme.
If I must cancel my participation in the conference, can a co-author attend in my place?
Please submit your request in writing (email ICETOE@ou.edu.vn), including the contact details of the individual who will attend as your substitute. Upon receipt, the substitution will be processed without any additional fees or cancellation penalties.
I need to cancel my participation entirely, and a co-author can not attend in my place.
Please notify us in writing (email ICETOE@ou.edu.vn) to proceed with a full cancellation. Cancellation policies will apply, with any applicable service charges determined by the date of cancellation. Please note that refunds will not be issued for cancellations made after the Registration deadline: 22nd October 2026.
Are co-authors permitted to attend the event alongside the primary presenter?
Yes, co-authors can take part in the event; however, they are required to complete registration and pay the applicable presenter fees.
If I am not attending the entire conference, can I pay for the days that I am attending?
Pro-rated registration fees are not available. We encourage you to stay the entire length of the conference.
Audience registration
Are audience registration rates available for ICETOE? Are early registration discounts offered?

Registration and Payment
How can I verify the status of my registration payment?
Upon completion of the payment process, you will receive an immediate confirmation email acknowledging receipt of your order. Once your payment has been verified and processed by the Accounts Section, an official receipt will be sent to you via email as a PDF attachment.
What should I do if you require an invoice?

Can I get a refund?
Cancellation requests must be submitted in writing by the Registration deadline: 22nd October 2026, via email ICETOE@ou.edu.vn. Registrations canceled before this date will be eligible for a refund, subject to a 20% administration fee. Please note that no refunds will be issued for cancellations made after the Registration deadline.

Will a receipt be provided upon arrival at the conference?
A PDF receipt is issued via email at the time of registration. If you require any additional receipt documentation, please contact the conference administration (email ICETOE@ou.edu.vn) either before or after the event.
PRESENTATIONS
How long can my presentation be?
Session time is divided equally among all presentations. Each presenter is allocated a 25-minute slot; however, the presentation itself should not exceed 20 minutes; presenters aim for approximately 15 to 18 minutes to allow time for discussion and questions.
What responsibilities does the Session Chair hold?
The Session Chair performs several key roles:
- Introduces the session and individual presenters, including their affiliations, countries, and primary research interests.
- Ensures that presenters adhere to their allocated time slots and maintain the prescribed time limits.
- Facilitates questions and discussion following the completion of all presentations.
- If the Programme Committee has assigned you as a Session Chair, please refer to the Session Chair Guidelines for detailed information on your duties. Supporting materials will be available in all session rooms during the conference.
Visas and Letters of Invitation (LOI)
What is a Letter of Invitation?
A Letter of Invitation is an official document that confirms receipt of registration payment and formally invites the registrant to attend and participate in the forthcoming conference. This letter serves as an official justification for attending the ICETOE. Your institution may request a Letter of Invitation for administrative purposes, and you may need the letter to support your visa application for entry into Vietnam.
Will ICETOE issue a Letter of Invitation to me?
If you have paid the registration fee as an accepted presenter and submitted the Letter of Invitation form to ICETOE, a Letter of Invitation will be issued. Please note that does not provide Letters of Invitation to audience members.
Accommodation and Venue
Are accommodation expenses included in the registration fee?
No, accommodation costs are not covered by the registration fee. Please see the information on the venue and trip for hotel options near the conference venue.
How do I get to the conference venue?

Will I receive certification?
Certificates of Presentation will be available for download within weeks following the conference conclusion. Corresponding authors will be notified via email once the Certificates of Presentation are ready. Only authors who have delivered a presentation at the Conference will be eligible to receive a Certificate of Presentation. Corresponding authors are responsible for downloading the Certificates of Presentation for all co-presenters.
Certificates for Session Chairs, Certificates of Participation for non-presenters, and Reviewer Certificates for members of the Review Committee will be issued via email in PDF format within weeks after the conference concludes. If you have not received the email after this period, please check your SPAM folder.

Thank you for your interest in ICETOE. Unfortunately, audience and presenter registration is only open to individuals who have completed a recognised bachelor’s degree programme.
I am an undergraduate student. May I submit an abstract to present at ICETOE?
We appreciate your interest in contributing to ICETOE. However, presentation abstracts can only be considered from individuals who have already completed a bachelor’s degree.
